Operations Assistant

We are looking for an Operations Assistant to join the Secretariat in IOGP’s Operations and Finance Directorate.

About the role: 

We are seeking a proactive and highly organised Operations Assistant to join our Finance and Operations team in our London office. This is a dynamic and varied role that plays a key part in ensuring the smooth day-to-day running of our operations. You will provide essential administrative and logistical support to internal committees and teams, assist with event coordination, and help maintain an efficient and welcoming office environment.

Reporting to the IT and Infrastructure Manager, you’ll work closely with a range of internal and external stakeholders, including committee managers, staff, members, suppliers, and contractors. From scheduling meetings and preparing documents to supporting travel arrangements and liaising with facilities, your contribution will help deliver high-quality experiences for our stakeholders and support the overall effectiveness of our operations.

Job Title: Operations Assistant

Salary: Approximately £35,000 depending on skills and experience.

Location: Moorgate, London. Office-based only.

What You’ll Do: 

As an Operations Assistant, you’ll play a vital role in supporting the smooth running of our internal operations and events. Your day-to-day responsibilities will include:

  • Providing administrative support to committees and teams, including scheduling meetings, preparing documents, and coordinating logistics.
  • Supporting internal and external events, from booking venues and arranging catering to managing travel and accommodation logistics.
  • Maintaining and organising office spaces, ensuring meeting rooms are ready and supplies are stocked.
  • Liaising with contractors and suppliers, assisting the Facilities Manager with general enquiries and office management tasks.
  • Helping to ensure a seamless experience for staff, members, and visitors by being proactive, responsive, and solutions-focused.

 

Qualifications and Experience:

We’re seeking an individual who combines strong administrative expertise, technical proficiency, and a proactive mindset. To be successful in this role, you must have:

  • A relevant degree or equivalent professional experience.
  • Proven experience providing administrative and logistical support in a team or office environment.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) — this is essential for day-to-day tasks.
  • Hands-on experience using SharePoint — this is a core tool in our operations and is a must-have for this role.
  • Experience supporting internal meetings and events, including travel and venue logistics.
  • A service-oriented approach with the ability to anticipate needs and respond flexibly.
  • Excellent organisational skills and the ability to manage multiple priorities under pressure.
  • A collaborative, people-focused attitude with a willingness to support colleagues and stakeholders at all levels.
